1. Booking Your Holiday

a) Your holiday contract is with Rohimo Tours and Safaris ('the Company'), incorporated in Uganda, and all bookings are subject to the following terms and conditions.

b) All communication from the Company regarding your holiday will be sent to the address provided on the booking form.

c) Bookings must be made through an authorized representative of the Company. At the time of booking, the Company's form must be completed and submitted with a 50% deposit of the total cost.

d) Receipt of the deposit and form does not guarantee or imply confirmation of the booking. Confirmation is only issued when the Company provides a written notice.

e) The full payment for your holiday must be made at least 30 days before the departure date. The person signing the form guarantees payment according to these conditions. No reminders will be sent.

f) If booking within 30 days of departure, full payment is required at the time of booking.

g) Special requests, such as dietary requirements, should be noted on the booking form.

h) The Company will provide services as outlined and confirmed in writing.

2. Price Policy

a) The Company is not obligated to provide a cost breakdown of the holiday.

b) The Company can notify you of any price increase before accepting your booking.

c) After a Confirmation Invoice, the holiday price may be subject to surcharges under specific circumstances. The Company will absorb 2% of the holiday price before passing on any surcharge. Only amounts exceeding 2% will be surcharged, and this will be communicated through a revised Confirmation Invoice.

d) If a surcharge increases the total holiday price by 10% or more, you may cancel within 14 days and receive a full refund.

e) Optionally, paying in full at booking fixes the holiday price. This requires returning the Confirmation Invoice with full payment within 7 days.

f) The Company cannot reduce prices if the value of the Ugandan shilling strengthens.

3. Cancellation and Changes by the Company

a) Changes to your holiday may occur, and the Company reserves the right to make them, with prompt notification. Compensation may be applicable for major changes.

b) No compensation for minor changes, such as restaurant or accommodation changes.

c) Major changes include cancellation or changes to inferior accommodation.

d) No compensation for changes due to events beyond the Company's control. The Company may cancel your holiday and refund your payment in full.

e) Transportation is subject to carrier conditions, and the Company may request payment of the balance on arrival if not received 30 days before departure.

f) The Company can refuse any person endangering others on the tour.

4. Cancellation and Changes by You

a) Cancellation charges apply, ranging from 50% of the deposit to 100% of the tour cost, depending on the notice period.

b) After the itinerary is confirmed, one set of amendments is free, but further modifications may incur a $25 charge.

5. Our Responsibilities

a) The Company does not own or manage tour facilities but has chosen providers carefully. The Company is not liable for death, illness, or injury resulting from failures beyond its control.

b) The Company cannot accept liability for illness, injury, or death arising from non-tour activities. No refund for travel, event, or ticket expenses.

6. Your Responsibilities

a) Arrange your own travel insurance. Valid passports, visas, and necessary documentation are required for all party members.

b) Behave in an orderly manner. Disclose pre-existing medical conditions. All equipment and personal effects are at the owner's risk.

7. Smoking

Smoking is prohibited in Company-operated vehicles. Stops can be arranged for smokers. Accommodation is reserved with non-smoking rooms unless a smoking room is specifically requested.

8. Waiver

Clients may be required to sign a 'Waiver of Responsibility' form acknowledging the tour's potential dangers.

9. Disclaimer

The Company strives for accurate information on its website but is not responsible for errors or omissions.

10. Complaints

a) Report problems to relevant suppliers immediately. Contact the Company for assistance. Complaints must be submitted within 28 days of returning home.

b) Disputes will be governed by Ugandan law. Both parties submit to the jurisdiction of Ugandan Courts.

c) All information given by the Company is believed to be correct at the time, with booking conditions taking precedence.

11. Data Protection/Confidentiality

The Company may request personal information, kept confidential, and shared with suppliers when necessary for contract fulfillment.
